Quoted and actual costs

What a job was expected to cost, what it really cost, and what's still to record.

A job's quoted and actual costs, side by side
A job's quoted and actual costs, side by side. A made-up example shop.
  1. What the quote expects Each job keeps the blanks' cost and any supplier branding from its quote. On the job's Quoted and actual costs, press Change estimates to add freight, work sent out, the time it should take and consumables. Prices never change.
  2. Enter the supplier's bill When a supplier invoices you, open the purchase order and fill in Supplier's bill: the amount ex GST, their bill number and date. Tick The bill differs line by line if lines came to different amounts. Jobs sharing the order each take their share.
  3. Freight, rework and the rest Courier charges from Shippit come in by themselves. For a shipment you record, add what the courier charged. Press Record a cost for anything else: freight, a bill for work sent out, a reprint, extra labour or consumables. Time logged on the job counts at your hourly labour cost.
  4. Read it The job shows estimated and actual contribution and the difference, and lists anything missing, like No freight recorded or Supplier bill not entered. Contribution is sales ex GST less the job's own costs. Rent, wages and other overheads aren't in it, so it isn't profit.
  5. Find the jobs that went wrong Reports, Quoted against actual lists jobs by how far they landed from their quote. Filter by month, customer, supplier or rep, and download it as a spreadsheet.
